Schedule a session

Set up a dated instance of a training, assign a trainer and steer its three phases: preparation, delivery, closing.

A session is a dated instance of a published training. This is where enrolment, attendance and assiduity evidence happen.

Create the session

From a training’s Sessions tab:

  1. Create a new session.
  2. Set the dates, times and location.
  3. Assign at least one trainer.
  4. Define the capacity (minimum / maximum learners).

The three phases

The session status reflects three business moments:

  • Preparation (scheduled) — you manage learners and prior documents. Attendance is greyed out.
  • Delivery (open) — attendance is active and learner signing is available.
  • Closing (completed) — attendance is viewable and you launch the satisfaction survey.

Transitions are triggered by the admin via buttons: Start the session (requires at least one assigned trainer), Close the session, and Reopen the session for post-session catch-up.

Enrol learners

During preparation, invite or enrol your learners. See Invite and confirm learners.

Attendance

Once the session has started, record presence and collect signatures. See Attendance sheet and signatures.

After the session

At closing, send your satisfaction surveys to participants.

Frequently asked questions

What is the difference between a training and a session?
The training is the reference record (programme, documents). The session is a dated instance of it: dates, a location, a trainer and enrolled learners.
Why is the attendance sheet greyed out?
Attendance only becomes active once the session has started (Delivery phase). While it is scheduled, the sheet stays visible but greyed out.
