Invite and confirm learners

Invite your learners to a session by email or enrol them directly, and follow their status through to attendance.

Learner enrolment happens at the session level, during its preparation phase.

Prerequisites

  • Session in Preparation phase.
  • Admin role (or trainer for sessions assigned to them).

1. Invite by email

From the session page, click Add a learner:

  1. Search for an existing learner or type a new email address.
  2. If the learner doesn’t exist yet, their record is created automatically.
  3. Click Send invitation : the learner receives an email with a confirmation link.

The enrolment is created in invited status.

2. Direct enrolment

Same dialog, but choose Enrol directly: the learner is placed in confirmed status without sending an email. Useful when you handle enrolment on their behalf.

3. The status cycle

invited → confirmed → present
                   └→ absent
  • The learner clicks the confirmation link → automatically becomes confirmed.
  • Recording attendance moves them to present.
  • The admin can adjust the status manually from the learner’s row.

Tip: use direct enrolment for in-company training where the company registers participants, no need to wait for individual confirmations.

4. Resend an invitation

While a learner is in invited status, you can resend the invitation: a new link is generated and the email is sent again.

Important: confirmation links are single-use. A resent invitation invalidates the previous link.

Does the learner need an account to confirm?
No. Confirmation happens through a public link received by email, with no sign-in. The link is single-use.
What's the difference between an invitation and direct enrolment?
An invitation sends an email and waits for the learner to confirm. Direct enrolment places them straight into 'confirmed', with no email, handy when you manage enrolment on their behalf.
Can I resend an invitation if the learner didn't receive it?
Yes. While the learner is in 'invited' status, click Resend invitation. A new link is generated and the email is sent again.
What happens if I remove a learner from a session?
The learner's enrolment is cancelled and they are notified by email. Their learner record remains in the directory, only the session enrolment is removed.
