Attendance sheet and signatures

Record presence, timestamp arrival and departure, and let your learners sign their attendance during the session.

Attendance is your assiduity evidence for Qualiopi. It becomes active once the session has started (Delivery phase) and only concerns confirmed or present learners.

Prerequisites

  • Session in Delivery phase (started).
  • Admin role (or trainer for sessions assigned to them).

1. Record presence

For each learner’s row on the attendance sheet:

  1. Enter the arrival time.
  2. Enter the departure time.
  3. The learner moves to present status and the effective duration is calculated automatically.

Tip: attendance is collected per half-day for multi-day sessions. See Half-day attendance slots.

2. Collect learner signatures

From the learner’s space: a Sign button appears in their learning path when the session is open and within its time window. The learner can draw their signature or type their name.

Via a signing link: from the attendance row, send a signing link by email for the slot. The same rules apply (open session, time window, confirmed enrolment).

Important: signing is refused outside the session’s time window, this keeps the evidence consistent with the real training time. If a learner missed the window, reopen the session.

3. Fix an entry

Click Clear on a row to reset the attendance entry and move the learner back to confirmed. You can also reopen a closed session for post-session catch-up.

4. Towards compliance

A completed session where every present learner has signed satisfies indicator 11 of the Qualiopi framework. See Understanding the compliance dashboard.

What’s next?

Frequently asked questions

When can a learner sign their attendance?
Only when the session is open and within its time window. Outside that slot, signing is not offered.
How do I fix an incorrect attendance entry?
The Clear button resets the entry and moves the learner back to 'confirmed'. You can then re-enter arrival and departure.
Can I send a signing link by email instead of having the learner sign in the app?
Yes. From the attendance row, send a signing link by email for the slot. The same safeguards apply (open session, time window, confirmed enrolment) before marking the learner present.
Is attendance required on every slot of a multi-day session?
Yes. Multi-day sessions are split into half-day slots. Each slot has its own attendance and signatures. See half-day attendance slots.
