Manage mandatory documents

Upload and version the six types of teaching documents Qualiopi expects for each training.

Each training carries its documents in the Documents tab. They are sorted by type, versioned and dated.

1. The six document types

2. Upload a document

  1. Open the Documents tab of the training.
  2. Click Upload next to the relevant type.
  3. Select a file (PDF, JPG, PNG or DOCX, ≤ 10 MB).
  4. The document is created as a draft with an automatic version number.

3. Publish and version

When you publish a version, the previously published version of the same type is automatically archived: there is only one active version at a time per type. Archived versions stay viewable, that is your evidence history.

Tip: upload the document when it is approved, not the night before the audit. Evidence dated as you go is always stronger than a folder rebuilt after the fact.

Important: publishing these documents directly feeds Qualiopi indicators. The compliance dashboard flags any published training missing an expected document.

Frequently asked questions

Which file formats can I upload?
PDF, JPG, PNG and DOCX, up to 10 MB per file.
What happens to the old version when I publish a new one?
It is automatically archived. There is only one published version at a time per document type, but previous versions stay viewable for audits.
Does uploading a document make it immediately available to learners?
No. A document must be published to become accessible. A draft document is only visible to admins.
