Managing tasks and alerts
Track pending actions automatically generated by Certeef (session confirmation, missing signature, evidence required) and your manual tasks.

Tasks centralize everything awaiting your attention in Certeef: some are generated automatically by the platform, others are created manually.
Prerequisites
- Administrator role for all organization-wide tasks.
- Trainer role for tasks relating to your own sessions.
1. Access tasks
Click Tasks in the sidebar. You land on the list of pending tasks, sorted by priority (urgent first).
Two tabs complete the main view:
- Completed — history of resolved tasks.
- All — full list with no status filter.
2. Understand system tasks
Certeef automatically generates three types of system tasks:

| Missing signature | A document sent to a learner hasn’t been signed | Send a reminder from the signature thread |
| Evidence required | A Qualiopi indicator is awaiting evidence | Upload the evidence from the compliance table |
Important: an urgent “Session confirmation” task means an unconfirmed session is impacting your Qualiopi score. Resolve it before an audit.
3. Resolve a system task
Each task includes a direct link to the relevant screen. Click “View” or the task title to navigate there, complete the required action, and return — the task disappears automatically once the root cause is resolved.
4. Create a manual task
- Click + New task at the top of the list.
- Enter a title and, optionally, a due date.
- Save. The task appears in your list.
Tip: use manual tasks to note a follow-up action after an audit or a reminder before a Qualiopi inspection.
5. Mark a manual task as complete
Tick the checkbox to the left of the task. It moves to the Completed tab. You can reopen it at any time if needed.

Frequently asked questions
- Who can see tasks?
- Administrators see all tasks for the organization. Trainers only see tasks that directly concern them (confirming a session they run, signing a document that involves them).
- Do system tasks disappear automatically?
- Yes. As soon as you resolve the underlying cause (you confirm the session, the learner signs, you upload the evidence), the system task disappears on its own. There's nothing to 'close' manually.
- Can a manual task be assigned to another team member?
- Currently, manual tasks are personal. You can create them for yourself with a due date, but assigning them to another member is not yet available.
- What's the difference between urgent and ordinary tasks?
- Urgent tasks flag an active compliance gap (a Qualiopi indicator is non-compliant, an unconfirmed session is blocking the audit). Ordinary tasks are useful reminders but have no immediate impact on the score.
