Manage your subscription
Change tier, switch between monthly and annual, update your payment method and download your invoices.

Your Certeef subscription is indexed on your number of learners. You manage it from the Billing area, available to any admin.
Prerequisites
- Admin role.
1. Track your usage
The learners used / tier counter tells you how much room is left at all times. Check it from Settings → Billing or from the dedicated widget on your dashboard.
Tip: if you’re approaching the tier limit, cancel unnecessary pending learner invitations, each accepted learner invitation counts against your quota.
2. Change tier
- Move up : immediate effect. The proration is billed immediately (credit for unused time, debit for the new tier).
- Move down : at your initiative only, scheduled for the end of the current period. No automatic downgrade: if you exceed a tier, free up seats first by cancelling learner invitations.
Important: a tier downgrade is not triggered automatically even if your learner count drops. You must request it explicitly.
3. Monthly or annual
Annual billing is cheaper than the monthly equivalent. You choose the billing period at payment time. To switch from monthly to annual (or vice versa), modify your subscription from the customer portal.
4. Manage payment and invoices
From Settings → Billing, click Customer portal to:
- Update your payment method (card, SEPA…)
- Download all your invoices as PDFs
- Cancel or reactivate your subscription
The customer portal is hosted by Stripe. Your payment data never passes through Certeef servers.

Frequently asked questions
- What happens when I change tier?
- Moving up a tier takes effect immediately, with prorated billing. Moving down a tier is scheduled for the end of the current period and never happens automatically.
- Is my data deleted if I cancel?
- No. After cancellation, the workspace stays accessible until the end of the paid period, then your data is kept. Reactivation is possible at any time.
- Who can manage billing?
- Any admin in the organization has access to the billing area. There is no single billing owner, multiple admins can manage the subscription.
- What happens if a payment fails?
- Access is not blocked immediately. A banner appears to prompt an admin to settle up. Trainings and sessions stay accessible while you update your payment method.
