Email log and templates

Find the history of every email sent and customize the templates (subject, body, variables) per message type.

The Communication module centralizes email history and templates. Every email sent by the application is logged and customizable.

Prerequisites

  • Admin role.

1. The email log

The History tab lists each email sent:

  • Type (session invitation, reminder, signature, quote, invoice, free email…)
  • Recipient and subject
  • Delivery status (sent, delivered, bounced)
  • Date sent

The table is filterable by type, status, recipient and date range, useful as a Qualiopi audit trail to prove dispatch of convocations.

Tip: filter by status “bounced” monthly to detect incorrect email addresses in your directory.

2. Customize templates

The Templates tab (also accessible via Settings → Emails) lets you edit the subject and body of each email type in a rich-text editor.

Available variables (inserted with {{variable}}):

  • {{name}} : first and last name of the recipient
  • {{org_name}} : organization name
  • {{document_title}} : document title
  • {{link}} : action link (signature, confirmation, questionnaire…)

Default templates act as a fallback if you haven’t customized the type concerned.

Tip: some templates can also be edited at send time (quotes, invoices, signature invitation) and are saved automatically for subsequent sends.

Frequently asked questions

Which emails are logged?
Every send going through the application: session invitations, reminders, signature requests, quote/invoice sends, free emails… with their delivery status. The log is filterable by type, status, recipient and period.
Are templates shared between documents?
The signature invitation template is shared by all signed documents: editing it from a quote also applies to conventions and contracts. Other types have their own template.
Can I see if the recipient opened my email?
The log shows delivery status (sent, delivered, bounced) but not opens. To check if a learner received their session invitation, verify their enrolment status in the session learner list.
What should I do if an email bounces?
A bounce usually signals an incorrect email address. Correct the address on the relevant person's record (learner, trainer or contact), then resend from the corresponding action.
