Quotes and invoices

Edit quotes sent for signature, convert them into invoices, and generate invoices from the funded enrolments of a session.

Quotes (/devis) and invoices (/factures) cover the sales cycle, from proposal to payment, with sequential, gap-free numbering.

Edit and send a quote

The quote editor offers free lines (with an optional link to a training) and computes net / VAT / gross totals live. The quote is rendered as a PDF (preview in a side panel) and can be sent for signature via Certeef Sign. When sending, you can edit the email (recipient, subject, body) — see the reusable template in communication.

A signed quote automatically moves to accepted. Deleting a quote is restricted to drafts (preserving the audit trail).

Invoices

An invoice is created manually, by converting an accepted quote, or from a session (grouping funded enrolments by company). On issuance, the number is allocated and the lines frozen. The invoice is emailed with a download button (signed link, no attachment). Credit notes (full or partial) and payment entry automatically recompute the balance and status.

Frequently asked questions

How does a quote become an invoice?
A signed quote automatically switches to "accepted". You can then convert it into an invoice — conversion is restricted to accepted quotes. Numbers are sequential with no gaps.
Can invoices be created from a session?
Yes. From a session's Funding section, priced enrolments are grouped by company: one draft invoice per company, one line per learner.
