Organizing your Qualiopi evidence without burning out
Drives, spreadsheets, inboxes: scattered evidence is the first enemy of compliance. Here's a method to take back control.
The difficulty of Qualiopi is rarely the substance. It’s the logistics of evidence: knowing, at any moment, where everything is and which indicator it belongs to.
Why shared folders aren’t enough
A shared folder organizes by file type, not by audit logic. On the day, you spend your time finding the right version of a document and rebuilding the link to the relevant indicator.
Three principles for solid evidence
- One piece of evidence, one indicator. Link each document to the indicator it serves, the moment you upload it.
- Version it. Keep the history: an auditor likes to see that internal rules have evolved.
- Date the use, not just the file. A certificate tied to a real session is worth more than a blank template.
The right daily habit
Upload evidence when it exists — at the end of a session, when an attendance sheet is signed, when a trainer’s CV arrives. Accumulating continuously costs a few seconds; reconstructing costs weeks.
